Under moderate supervision, the Administrative Support Excellence position is accountable for assisting the Abacus Department of Excellence with internal and client-facing initiatives, workshops, and daily office administration functions. This includes scheduling, organizing materials and communication needs, managing project timelines, and strategic plan excellence.

Essential Functions

  1. Provide ongoing support start-to-finish to support the cohesive and intentional plan for all internal and client-facing strategic planning, workshops, and special projects. Support goals and measurements of each plan to ensure success.
  2. Build packets, organize needed resources, and manage details to ensure excellence in all areas.
  3. Coordinate follow-up, timelines, and resources to ensure consistent, effective communication to clients and employees.
  4. Collect, organize, and input all communication, requests, and materials from clients and employees to assist in completing necessary tasks.
  5. Scan, copy, and file all necessary documents.
  6. Set-up and implement communication support including calendar invites, zoom meetings, reminder messages
  7. Maintain, organize, manage, and stock all supplies, resources, timelines, and files.
  8. Organize, set-up and maintain clients and projects in firm software and computer files and programs.
  9. Maintains, manages, and directs all incoming communication related to internal and external programs.
  10. Actively seek information and learning on best practices for the accounting industry.


  1. Proficient in MS Office Suite, to include Word, Excel, and PowerPoint.
  2. Detail-oriented, maintains confidentiality, and lives firm values.
  3. Excellent interpersonal relationship and organizational skills.
  4. Ability to work in a fast-paced, collaborative, team environment, maintaining a high level of confidentiality.
  5. Demonstrates strong verbal, written communication, active listening, and customer service skills on telephone, in person, and in writing.
  6. Intuitively understands and proactively provides needed support to Department of Excellence needs.
  7. Can confidently, accurately, and concurrently perform multiple tasks with ease and professionalism.

Supervisory Responsibility

This position has no supervisory responsibilities. He or she will have the Manager of Chaos as a supervisor.

Position Expectations & Work Environment

This is a full-time salaried exempt position. While performing the duties of this job, the employee works normal office hours (with guilt-free flexibility). Some weeks over 40 hours will be required.

Location & Travel

Based in Springfield, MO, but also serve employees in Branson, Lee’s Summit, and those working remotely. Little to no travel is expected for this position.

Required Education & Experience

High School diploma or equivalent required. Associate’s or Bachelor’s degree preferred. General Office experience or Administrative support experience is preferred.
